2. Photography Policy


Photography

The following policy is largely based on the RFU Guidelines on Video/Photographic Images. If you have any questions please contact the Safeguarding Officer

First and foremost:

Any adult seeking to take photographs of any Teddington Rugby child player must first speak with the lead coach of that age group ideally or as an alternative, the coach taking that session. This is a fundamental requirement, not just a courtesy and applies to home and away fixtures and training.
If any of the players' parents or people looking after them who are present object, then no photographs may be taken.

In addition:

  • All young people must be appropriately dressed for the activity taking place. It is never acceptable to capture any images in changing rooms, showers or at any time when players are dressing. Images should be neither sexual, of an exploitative nature nor open to misinterpretation or misuse.
  • Photography or recording should focus on the activity rather than a particular young person and personal details, such as their address, should not be revealed. Where there is a request for an individual to be identified, permission must be gained in writing from a parent/guardian to use the images and relevant details in event publicity.
  • Parents will be made aware if a film is being taken to be used as a coaching aid. TRFC will ensure that any footage will be carefully monitored and stored securely.
  • Wherever possible, photographs/recordings should represent the diverse range of young people participating in rugby.
  • Anyone taking photographs or recording at any rugby event must have a valid reason for doing so.
  • All concerns regarding inappropriate or intrusive photography should be reported in confidence to the club's Safeguarding Officer.

Circumstances of photography/video

Photographs/videos of junior players are usually taken in the following contexts. This list is not exhaustive.

  • Coaching - video may be filmed and used thereafter for coaching purposes.
  • Action photographs - general photographs of players during a game.
  • Team photographs - posed group photos of teams.
  • Awards and ceremonies.
  • Press coverage - local, national and specialist rugby media photographs/video.
  • Tours and festivals - at other clubs and grounds which will be subject to the host clubs policy.

All parents/guardians are asked to indicate on the Membership Form if they do not consent to the taking and use of photographs/videos featuring their children throughout the Clubs season. If consent is not withheld, a parents/guardians permission continues throughout the season, terminating at its conclusion, unless the parent/guardian notifies the squad manager, in writing, of a change of mind.

Where a parent/ guardian does not give consent, Club reserves the right to discuss with the parent/ guardian if it’s appropriate for the relevant player to participate in events which may be expected to be photographed/videoed.
