Reeds Weybridge RFC would like to extend a very warm welcome to festival participants and supporters. We hope you have an enjoyable day and wish you the best of luck in your games.

Participating Clubs:
We have the pleasure of entertaining our friends from Chipstead, Chobham, Cobham, Farnham, Teddington and Vandals.

Registration:
We strongly recommend that all teams arrive by 09:15, each team to be registered at the Clubhouse by 09:25 (RFU IDs are a must), coaches and referees briefing at 09:30, all to ensure a prompt start at 10:00. We expect the matches to be finished by 13:15 if not before. At which point there will be a trophy presentation to each club.

Festival format:
We will be playing round-robin format with each team playing 4 matches.

  • Teams will be mixed ability and games will adhere to the New Rules of Play – copies provided.
  • U9 teams will be 7 v 7 with rolling replacements.
  • Each team will play 4 matches.
  • Matches will be up to 8 minutes each-way with 2 minutes for half time.
  • There should be no player overlap between teams from the same club, unless injury prevents the club from being able to field a full team.
  • Clubs will be required to provide a Game Coach/Referee for matches in line with the match schedule.
  • Game Coaches/Referees will not be from the participating clubs in any given match.
  • Stoppages to allow for injury may result in additional time being played to complete the playing time specified.
  • Each club will receive a TREDS trophy that will be awarded on a club basis for those teams that best represent the Rugby Values of Teamwork, Respect, Enjoyment, Discipline and Sportsmanship.
  • Each U9 squad will receive a number of medals for them to present to their players.
  • Please remain on-site for the Trophy Presentation – it is an integral part of participating in Rugby and builds camaraderie between Clubs and an appreciation for sporting behaviour which Rugby promotes. The (brief) Trophy Presentation will take place on completion of the last match(es)

Referees:
There will be a Referee briefing at the Clubhouse at 9:30am.
All coaches and parents are reminded that the Referees are volunteer parents (and not professional Referees) who will be striving to referee as impartially and objectively as possible. Please respect the Referee’s decisions regardless of whether or not you agree with them. 
First Aiders:
We have Paramedics attending the festival. However please ensure that in addition each Club provides a designated First Aider per team with a fully stocked First Aiders medical bag.

Tents:
Please keep player tents off ALL playing surfaces. Tents are permitted between the normally marked touchlines and behind the in-goal areas that are not being used for matches.

Pitch Marshalls:
Reeds will provide a Pitch Marshall for each pitch. Please can clubs help facilitate the smooth running of the festival by being prepared to take to the pitch 5 minutes before the designated start of each match, with the referee in attendance. The Pitch Marshalls will be wearing high-vis jackets. Please return the match ball to the Pitch Marshall at the end of each match.

Food and drink:
There will be bacon and sausage rolls, chips, sandwiches, hot drinks and sweets providing food and refreshments throughout the day in the club house.

Festival cancellation:
In the unlikely event of Festival cancellation, notice of cancellation will be made to participating Club Fixture Secretaries via provided email addresses. We will make a decision no later than 7:30 am on the Sunday morning of the festival. It remains the responsibility of participating clubs to disseminate notice of cancellation to their impacted club members. We will not be able to update our website at short notice in the event of cancellation.

Parking:
Please enter the Whiteley Village site from Burwood Road (and not off the Sevens Hills Road access point). Parking attendants will then help you park your vehicle. Please keep spaces between cars to the practical minimum as parking space is limited and cars parked outside of the demarcated parking areas within Whiteley Village may be towed at the car owner’s expense – we are not permitted to park cars outside of the Rugby Club’s demarcated areas. Please car share to limit the number of spaces being taken.
